The Service is provided by DentalFlowCy, trading as DentalFlow, based in Cyprus. When you create an account, subscribe, or use the Service, you are contracting with DentalFlowCy. You can reach us at info@lysandroudental.com.

By creating an account or continuing to use the Service you agree to these terms. If you do not agree, you must stop using the Service. If you are accepting on behalf of a clinic or company, you confirm you have authority to bind that organisation; if you are accepting as an individual, you confirm you are of legal age.

DentalFlow is subscription software for dental clinics covering appointment scheduling, patient records, treatment plans, receipts and payment records, consent forms, media storage and team messaging. Features available to you depend on the plan you select.

We grant you a limited, non-exclusive, non-transferable right to use the Service within the limits of your plan (including seat and storage limits) for the duration of your subscription.

You must provide accurate registration information and keep it up to date. You are responsible for keeping your credentials confidential and for all activity that occurs under your account and the accounts of your team members.

You must not use the Service:

• for any unlawful purpose or in breach of applicable healthcare or data laws;
• to commit fraud, send spam, or impersonate another person or clinic;
• to infringe the intellectual property or privacy rights of others;
• to interfere with the security or integrity of the Service, including introducing malware, probing or scanning systems, bypassing technical limits, or scraping data;
• to reverse engineer, resell, sublicense or redistribute the Service.

You remain responsible for the clinical and personal data you enter into the Service and for having a lawful basis to process it. You grant us a limited licence to host and process that content solely so that we can provide the Service to you.

Support access. Our technical staff may need to open your clinic account to develop, maintain, troubleshoot and fix defects in the Service. This access is used for development, support and bug fixing purposes only, and never for any commercial use of your data. Except where we must act to protect the security or integrity of the Service or to comply with the law, such access only happens with your consent: when a member of our team requests entry, a one-time code appears on your own screen for five minutes, which you may regenerate or refuse, and you may end an active support session at any time from within the app. Every support session is logged with the person, the clinic, the time, and the screens visited, and our staff are bound by confidentiality obligations.

We (and our licensors) retain all rights, title and interest in the Service, including its software, documentation, design and branding. Nothing in these terms transfers ownership of the Service to you.

Subscriptions are billed in advance on a recurring basis for the plan you select, plus any additional seats in use above your plan's included logins. Plans renew automatically until cancelled.

Subscription payments are collected by DentalFlowCy through secure payment links issued by our payment processor, Viva Wallet. Card details are entered on Viva Wallet's hosted checkout and are never seen or stored by us.

Free trial and card on file: new clinics get a 14-day free trial. If you choose to save a card at sign-up, Viva Wallet performs a EUR 1 verification charge which is refunded immediately, and no further amount is taken during the trial. On day 14 the saved card is automatically charged the price of your selected plan and billing cycle, and is charged again at the start of each following cycle until you cancel. You can cancel, change plan or remove the saved card at any time before the trial ends in Settings → Subscription, and you will pay nothing. We email you before the first charge.

DentalFlowCy is the seller of record and handles all billing questions, cancellations and refunds directly. Our refund commitment is set out in our Refund Policy.

We work to keep the Service available and reliable, but we do not guarantee that it will be uninterrupted, timely, secure or error-free. Maintenance, third-party outages and factors beyond our control may affect availability.

We may suspend or terminate your access if you materially breach these terms, fail to pay, present a security or fraud risk, or repeatedly or seriously violate our acceptable use rules. You may cancel your subscription at any time.

After termination we will make your clinic data available for export for 30 days, after which it may be permanently deleted.

To the fullest extent permitted by law we disclaim all implied warranties, including merchantability and fitness for a particular purpose. The Service is a practice management tool and does not provide clinical or legal advice.

We are not liable for indirect, consequential or special damages, including loss of profits, data or goodwill. Our aggregate liability is limited to the fees you paid in the 12 months before the claim. Nothing limits liability for fraud, death or personal injury caused by negligence, or any liability that cannot be excluded by law.

You will indemnify us against claims arising from your content, your unlawful use of the Service, or your breach of these terms.

We may update the Service and these terms. Where changes are material we will give reasonable notice; continued use after the change takes effect means you accept it.

You may not assign these terms without our consent; we may assign them in connection with a merger, acquisition or sale of assets. Neither party is liable for failures caused by events beyond its reasonable control.

These terms are governed by the laws of the Republic of Cyprus, and the courts of Cyprus have exclusive jurisdiction over any dispute.
