Getting started & billing

How does the free trial work?: Every clinic gets 14 days with all features unlocked and no credit card. When the trial ends the app switches to read-only — you can still view and export everything — and one click to renew restores full access.
What happens if I do not renew?: Nothing is deleted. Your clinic stays read-only with CSV and PDF export available, and online booking shows patients a message asking them to contact you directly.
Can I change plan later?: Yes. Plans are based on how many doctor logins and how much storage you need; you can preview the exact price difference before confirming.
Do you charge per patient?: No. Patients, appointments and receipts are unlimited on every paid plan.
Can I use my own receipt numbering?: Yes — set a prefix, padding and starting number. Numbering stays gap-free across all doctors in the clinic.
Does it work on a phone?: DentalFlow is built mobile-first: install it on your phone, use the calendar with gestures, take intraoral photos, and get push notifications.

Where is patient data stored?: In an encrypted managed database in the EU. Every record is scoped to your clinic, and access rules are enforced on the server, not just in the browser.
Who inside the clinic can see what?: Roles control access. Finance is additionally protected by a PIN or Face ID, chat can have its own PIN, and clinic settings are admin-only.
Are you GDPR compliant?: We act as processor for the patient data you enter and as controller for your account data. Our Privacy Notice sets out purposes, retention, sharing and your rights.
What about backups?: The database is backed up continuously by our infrastructure provider, and you can export patients, receipts, treatment plans and finance data at any time.
How are payments handled?: Subscription payments are processed on Viva Wallet's secure hosted checkout — we never see or store your card details. Patient card payments also run through Viva Wallet.
